Many of you are not quite sure what are current volunteer positions entail...below is a brief (sometimes!) summary of help that is needed to keep our galleries running! Some functions, such as bin coordinator are done by members who pay a bin fee and are part of that group. Their description is not listed below. In addition, board (descriptions coming soon!) members are required to sit on two committees and can either head or be a part of any function listed below.

Fundraising is a specialized task and is not listed here. When we have specific fundraisers, we will send out a call for help!

This is by no means a static list, needs vary by the times.

Gallery Host: The Gallery Host is responsible for greeting customers as they walk in the gallery, answering the phone, taking messages, writing up sales, general dusting, cleaning.

Receptions: Set-up the tables for the reception. Under the artist's direction, put food and drink on the tables along with napkins, plates and glasses. Assure that food is replenished. Take down tables when reception is over, clean dishes, take out trash. We also have a need for member shows (such as the Open Competition) to have a member shop (within our prescribed budget) for food and sundries.

Exhibits/Installation: There are several components to this category. Volunteering for this broad category does not commit you all of the following!

  • Hanging Committee: Hangs the exhibits at both galleries. Volunteers usually choose the gallery they want to volunteer at.
  • CMH Assistance: Volunteers help hang, check in artwork as well as install/unistall hardware on artwork.
  • Bring-In Assistant: The bring-in assistant assures that work that was accepted into the show is checked off the accepted list. They also check to make sure that all work is wired for hanging. In addition, they also "check-out" work from past member shows. Call members whose work hasn't been picked up to and remind them that they need to pick up their work.

Solo Show Coordinator: With the Executive Director, selects juror for solo show exhibits for the upcoming year. Makes up a call to artists. Working with staff, assures call gets out. When juror has made selection, give names to Executive Director so E.D. can assure members are in good standing. Sends out contracts to artists, collects contracts, gives to E.D. Collects images and titles for exhibit and forwards to gallery. Required: email, computer, MS Word.

Juror Selection: This person, working with the Executive Director, secures jurors for member exhibits as well as Open Competitions. Email jurors requirements for exhibit and general guidelines as well as online entry requirements such as passwords. Forward jury information to Online Entry Management Volunteer. Assures that E.D. has address for juror and that E.D. receives invoice for juror so juror can be paid. Required: email, computer, MS Word. Job can be done at home.

Membership: There are several components to the category. Volunteering for this broad category does not commit you all of the following! Each component can be done by multiple volunteers. All of these jobs can be done from hone!

  • Monthly Membership Update (multiple positions): Compare current membership list to entry exhibit list, assure that members only are exhibiting at the gallery. Contact appropriate board member if exhibitor is not member. Required: computer, email and familiarity with Excel.
  • Monthly Membership Renewal: Call/email members whose membership will be expiring in the next 60 days and remind them to renew. Required: computer, email and familiarity with Excel.
  • Monthly Volunteer Update: Looking at total hours volunteered, contact members (either email or phone) at the 6 month membership mark if they are low on volunteer hours. Forward list to appropriate board member. Required: computer, email and familiarity with Excel.
  • Welcoming: Call new exhibiting members to welcome them and explainthe organization to them including online entry, where to find information about upcoming shows, how the bin system works and volunteer opportunities. Required: Email.

Newsletter: Gather and receive information, edit and design email newsletters for membership and general public in Constact Contact. Required: Email, photo-editing program, MS Word, comfortable using email programs such as Constant Contact.

Marketing: There are several components to the category. Volunteering for this broad category does not commit you to all of the following!

  • E-Marketing with Constant Contact: Adhering to schedule set by staff, send out Call to Artists, opening and exhibit announcements using Constant Contact. Required: Email, photo-editing program, MS Word, comfortable using email programs such as Constant Contact. This can be done by more than one person.
  • Marketing Committee: Develops a marketing plan and budget for desired marketing activities. Meets once a month or bi-monthly under the direction of appropriate board member.

Workshop/Programs: Look for monthly programs for the 2nd Thursday at the Gallery -- a membership enrichment program that is usually free for the membership. Forward all information about program to staff for inclusion on website and any publicity materials including email marketing. Solicit artists to teach workshops, assure they receive all contract material. Conducting and/or Supervising Children's Art Activities: Plan activities for children and families. Organize materials, recruit and supervise fellow volunteers. Also applies to docent work as well as arts and crafts activities. These events can often occur during special events at the Harbor Village Gallery such as Pirates Day.

Photography: There are serveral components to this category. Volunteering for this broad category does not commit you to all of the following! All of the following components could be done by more than one volunteer.

  • Photograph artwork for artists for entry into exhibits: This job requires the ability to be at the downtown gallery during "online assistance". Dates for the calendar year are on the website. Required: a camera and the ability to upload and resize images for online entry.
  • Photograph Award Winners and Award Winners work: This job requires the photographer to attend the Open Competition, Student Competition and other association competitionsand take photos of winners with their work as well as their work alone. The photos would need to be hi-res that could be used for publicity/marketing purposes. The photos would need to be emailed or burned to a CD for the staff within two business days.
  • Marketing Photographer: Under the direction of the marketing committee, this photographer would take photos of Special Events/building exteriors/receptions/building interiors to be used for marketing and publicity purposes.

Hardware/Network Assitance: This job requires the ability to assist with networking/hardware issues with our computers, assistance in installing new software and hardware.

Online Entry: There are serveral components to this category. Volunteering for this broad category does not commit you to all of the following! All of the following components could be done by more than one volunteer.

  • Online Entry Management: Under the direction of staff, post call to artists, act as a liason between software developer and end user, set-up jurors on the calls so they can access system. Email artists when they are accepted/not accepted into exhibit. For CMH exhibits, email link for standard contract for all artists. Required: computer, ability to follow direction and set-up calls according to prescribed template.
  • Online Entry Assistance: According to schedule on website for online entry assistance, assist members with logging on/uploading images and complete their online entry process. Required: Ability to assist artists at Buenaventura Gallery on prescribed days. Computer skills.

Social Media: Working under the direction of staff and the marketing committee, utilize social media such as Twitter and Facebook to promote exhibits/workshops/programs that are taking place at the association. Required: Ability to Tweet and upload to Facebook via a cellphone and a computer.

Website Update: When association has new website complete, volunteers will be responsible for updating specific areas of the website. For example: We'll need someone to update exhibits and post press releases for the Harbor Village Gallery, another to update exhibits and post press releases for the Buenaventura Gallery, another to post workshops, member sales, membership, new pages as the need arises. This can be done by more than one member. Required: Email, photo-editing program, MS Word, comfortable using a computer. This job can be done at home on your own computer.

Bulk Mail Delivery: Under the direction of staff, pick up postcards for bulk mail delivery for all exhibits at the galleries. This job should be shared by more than one person. Required: a car, the ability to carry 1500 postcards to the bulk mail facility in Oxnard. The ability to assure paperwork is filled out correctly and returned to gallery in a timely manner.

Gallery Cleaning: This position is ideal to share among several volunteers. Assure that both galleries, restroom, kitchen area and windows are cleaned twice a month. (The Harbor Village Gallery does not have a restroom.)

Maintenance: Handyperson position -- someone who is good with a hammer, caulking windows, and performing general maintenance as needed. Required: Someone with tools who has experience in providing a variety of maintenance functions. This person(s) does not have to have all experiences. But, as much as we can have done by volunteers allows us to save on our expenses.

Construction: Varied: Can be building a display area, modifiying existing. As needed. Required: Someone with tools who has experience in providing a variety of maintenance functions. Filing: Come into downtown gallery and file as needed in the association's filing cabinet, under staff direction. Key position at the end of and the beginning of the calendar year.
